Position Title:              Accounting Clerk/Administrative Assistant II

Supervisor:                  Parish Manager

Department:               Bookkeeping/Parish Office

Status:                         Nonexempt, full-time – Grade 2

 

Purpose:        

Under the supervision of the Parish Manager, Bookkeeper and Executive Assistant, this position performs the following:

 

Essential Duties and Responsibilities:          

  • Weekly accounts payable processing;
  • Preparing bank deposits, recording receipts and depositing all income into appropriate accounts.
  • Assisting Bookkeeper with semi-monthly payroll.
  • Recording tithes and printing/reconciling annual statements using ICON software;
  • Updating and maintaining sacramental record books and the database; preparing sacramental certificates; providing sacramental information when requested; always maintaining utmost confidentiality.
  • Preparing weekly Mass schedule for the priests.
  • Preparing weekly Mass binders and security envelopes for collections.
  • Coordinating the Safe Environment Program required by the Diocese of Phoenix, including assisting parishioners with training in the office; maintaining SET database; coordinating SET paperwork; maintaining SET files and monitoring ministry rosters to ensure SET compliance.
  • Assisting with coverage of the front desk reception area on assigned schedule and substituting for others when necessary and providing excellent customer service both in person and on the telephone.
  • Coordinating or assisting to coordinate various parish events such as the Heritage Festival, Volunteer Dinner, New Parishioner Dinner, staff retreat, etc.
  • Serving as the back-up person for the Executive Assistant.
  • Assisting with preparation of the weekly bulletin.
  • Undertaking projects and research to determine more efficient ways of doing things.
  • Performing any other job-related duties necessary for smooth flow of operations within the Parish.

 

Knowledge, Skills and Abilities Preferred:

  • Basic knowledge of Quickbooks and general accounting
  • Ability to maintain confidentiality;
  • Ability to work independently;
  • Bilingual in English and Spanish;
  • Customer service skills including patience and understanding;
  • Previous parish work experience.
  • Strong understanding with the Catholic faith.

 

Required Activities: May include sitting, standing, reaching, talking and listening to people

 

Basic Qualifications:

  • Commitment to the mission of the Catholic Church;
  • Previous experience with accounts payable and receivables;
  • Previous Customer Service experience, preferably in a Catholic parish environment;
  • Excellent verbal and written communication skills;
  • Basic computer experience in spreadsheets, word-processing and using various websites;
  • Ability to work collaboratively in a team environment.

 

Education:

  • High School diploma or equivalent
