QUALIFICATIONS: Accounting degree or equivalent on the job experience. Experience in accounting,audit, management, and administration, preferably with a non-profit organization. High proficiency with QuickBooks Online and Microsoft Office (specifically Excel and Word ); able to establish and maintain effective working relationships with peers, subordinates, and volunteers; possess interpersonal skills; ability to prepare and maintain required records and reports; ability to work independently and manage multiple tasks; clearly express ideas orally and in writing; ability to create financial reports; facilitate employee meetings; track record for developing accounting policies and procedures including cross-training; obtain full knowledge of the YHS procedures and policies. Must have a good credit score, pass a federal background check, and possess/obtain an Arizona driver’s license.
ESSENTIAL POSITION FUNCTIONS
- Maintain accurate financial records for the organization within QuickBooks Online (QBO), responsible for the general ledger, balance sheet and income statement
- Generate monthly financial statements including detailed departmental reports
- Meet with management and Finance Committee Members on financial results and variances
- Review and implement internal control practices to safeguard company assets
- Generate detailed spreadsheets on special events, including fundraising, and budgets
- Upon request, produce weekly financial updates and cash flow breakdowns and balances on all YHS accounts
- Meet with department managers/supervisors on budget variances providing detailed analysis
- Supervise the Accounting Coordinator (payroll, payables, accounts receivables and deposits) and answer daily questions that come arise in the department
- Reconcile monthly bank statements, merchant statements, and credit card statements
- Responsible for sending out monthly sales tax reports for the state and city
- Works in conjunction with CPAs on external/internal audits
- Entering annual budget and monthly financial reporting within the organization’s different departments
- Responsible for quarterly payroll reports including, DES, Workers’ Compensation premium, AZ State and Federal 941 returns
- Create end-of-year W-2’s for employees and government agencies. This includes AZ Corporation
- Create and develop accounting policies and procedures
- Act as Company internal auditor
Specific Accounting Manager Task List
Weekly:
- Monitor all QBO accounts
- Review of YHS financials reports and bank accounts
- Help Accounting Coordinator manage tasks as needed
Monthly:
- Reconciliation of bank and credit card statements
- Reconciliation of balance sheet accounts
- Monthly general journal entries including time-split, in-kind donations and reimbursements
- Prepare timely and accurate financial statements
- Analyze financials for accuracy
Quarterly:
- File and pay 941 quarterlies
- File and pay AZ DES
- File and pay AZ unemployment
Annually:
- Work with and manage annual audit with outside audit firm
- Enter annual budget within QBO
- Process W2s and 1099s
Miscellaneous:
- Create new financial reports in QBO
- Various tasks requested by the management team
- Manage IRS/State/Bank correspondence as needed
- Backup to the Accounting Coordinator
- Mentor Accounting Coordinator
