Job Summary
Under the direction of the Executive Director and in collaboration with the Deputy Director – Operations, this position is responsible for leading and managing the organization’s Finance, Marketing & Development, and Thrift Store departments. The Deputy Director – Support Services (DDSS) will develop strategies for ensuring the long-term financial sustainability of the organization by implementing marketing, donor stewardship, Planned Giving, financial planning/cash management, and GAAP standards focused on increasing the organization’s net income while ensuring compliance to donor/grantor requirements and financial audit best practices.

Responsibilities

Finance:

  • Work in partnership with Executive Director and Deputy Director – Operations on the development and monitoring of the organization’s annual budget.
  • Ensure accurate financial records (general ledger, balance sheet, income statement and cash flow).
  • Ensure the Finance Department:

o Reconciles monthly bank, merchant, and credit card statements.

o Completes monthly sales tax reports for the state and city.

o Accurately completes payroll, account payable, and accounts receivable commitments on a timely basis.

o Issues quarterly payroll reports including, DES, Workers’ Compensation premium, AZ State and Federal 941 returns.

o Creates end of year W-2’s for employees and government agencies. This includes AZ Corporation Commission annual report with appropriate financials enclosed.

o Markets and implements the commercial insurance and employee benefits programs.

  • Create monthly financial statements for the Executive Director, the Board of Directors, and Department Managers/Supervisors, which will include departmental key financial detail.
  • Work in conjunction with the organization’s accounting firm on external/internal audits. Lead and prepare the organization for the annual financial audit.

Marketing & Development:

  • Develop marketing and development plans to help meet the annual M&D revenue and program objectives of YHS.
  • Establish and maintain relationships with major donors, community leaders, civic organizations, government officials, media, and other key stakeholders.
  • Research, identify, cultivate and solicit donors through presentations, direct mail, outreach efforts, advertising and public relations activities, and one-to-one meetings.
  • Manage marketing and communications functions, including with the media, to enhance and increase YHS’s image and visibility.
  • Provide community outreach through public speaking engagements.
  • Ensure successful cultivation and solicitation of revenue from the organization’s Planned Giving efforts.
  • Develop an annual grants plan and ensure grant proposals and grant reports are tracked and completed in a timely manner.
  • Monitor, evaluate and report on progress towards the annual marketing and development goals, objectives and strategies.
  • Participate in the organizations’ strategic planning process.
  • Possess outstanding writing, editing, and proofreading skills and be proficient with Microsoft Word and Excel and eventually proficient with the DonorPerfect™ platform.
  • Must be able to work independently as well as a member of a team. Be trustworthy to view and discreetly manage confidential donor/organizational information. Possess excellent in-person skills and telephone etiquette.

Thrift Store:

  • Work with the Executive Director and the Thrift Store Manager on the development of the store’s annual net income target.
  • Ensure accurate cash and inventory processing standards are maintained at the Thrift Store.
  • Address Thrift Store customer service grievances in an appropriate and professional manner.

Experience

Bachelor’s Degree or 10-year work experience in an area related to financial accounting and non-profit fundraising/marketing with a demonstrated working knowledge of the critical aspects of financial/cash management and fundraising & marketing approaches/processes. This position requires an experienced manager with excellent leadership, organizational, planning and problem-solving skills. Budget development and financial management skills. Experience or ability to work with an accountant to manage the legal liability of current legal, tax and other standards relevant to the organization’s financial, fundraising and marketing efforts. This position will manage and lead comprehensive fundraising and marketing programs to secure funding, raise public awareness and to build community support and alliances. Exemplary written/verbal communication skills. High proficiency with QuickBooks Online and Microsoft Office (specifically Excel and Word). Experience in working with volunteers, Board of Directors, and staff. Must be able to accept change, initiate change, foster change and analyze successes and failures so that a continuous improvement cycle can be maintained. Must have or be able to obtain a valid Arizona driver’s license. Must have a good credit score and pass a background check.
